These terms and conditions apply to www.xchangeapproach.com and any other website you can access through xchangeapproach.com that does not have separate Terms and Conditions. By accessing www.xchangeapproach.com, you accept the following Terms and Conditions without limitation or qualification. If you do not agree to these Terms and Conditions, do not use this website. Your use of xchangeapproach.com and related websites constitutes consent to these Terms and Conditions. These Terms and Conditions may change at any time without notice.

The contents and arrangement of this site are the property of xchange. All licensed copyrighted materials and trademarks used or referred to in this website are the property of their respective owners. xchange grants you a non-exclusive, limited permission license to access this information and content available through this website which may be revoked at any time.

This site and content provided in this site may not be copied, republished, uploaded, posted, transmitted or distributed in any manner without the express written consent of xchange except that you may download, display and print one copy of the materials solely for your personal, non-commercial use. No links, mirroring, framing or reframing of this website is permitted without express written consent of xchange. xchange may block any crawlers or bots at its discretion.

The information and content on this site are provided for educational and entertainment purposes only and does not create a business or professional services relationship with xchange. xchange is domiciled in Ohio and you agree that any legal proceeding relating to this site shall be governed by the laws of Ohio. You are responsible for complying with the laws of the jurisdiction from which you are accessing this site as well as the laws of Ohio and the United States. You agree that you will not access or use the information or content available via this website in violation of any applicable laws or regulations.

Any information you submit through this site shall be deemed non-confidential and non-proprietary and you grant xchange the right to use it in its ordinary course of business. You represent that you have the lawful right to submit such information.

ACCESS POLICY FOR PAYMENT PLANS:

Participants who purchase or enroll in any xchange product using a payment plan are expected to complete all scheduled payments in full. If a payment is missed or remains outstanding, xchange reserves the right to suspend access to all program materials, membership subscriptions, sessions, and community platforms until the account is brought up to date.

Failure to complete all payments may result in permanent loss of access to the program and (if applicable) forfeiture of the Zero Risk Promise eligibility. Access will only be reinstated once the outstanding balance has been resolved.

MEMBERSHIP TERMS OF SERVICE:

xchange Membership is an annual commitment, which automatically renews as a monthly commitment at our current market rate after your initial 12-months of membership is completed, unless you elect to renew your membership for another 12-month commitment.

30 days prior to your annual renewal date/expiration date, xchange will email you with a 12-month renewal offer.

If you elect to renew your membership, you are committing to another 12-month term.

If you do not elect to renew using one of our annual renewal offers, you will be offboarded from your membership. 

If you do not respond to the renewal email or notify us of stopping your membership, xchange will automatically:

  1. Renew your membership that you are enrolled in at the current market rate at the month to month payment option.
  2. Charge the applicable membership level fee to either the credit card you have on file or a credit card you add to your file.

Please be aware that as our business evolves and if there are changes to our membership structure, you will be notified of these changes and will be automatically enrolled in the membership plan that most closely aligns with your existing membership level.

Automatic membership renewals will be processed the day your existing membership ends. After your 12 months of agreed membership commitment, your membership payment will continue on the same date each month.

If you do not wish to proceed with automatic membership renewal, you must opt-out 14 business days before your current membership renewal date using this Membership Cancellation form.

Note: If you elect to renew your xchange membership through any promotion or retention efforts by xchange, you hereby agree to another annual commitment and are subject to the same cancellation and refund policy as your original 12-Month Commitment.

MEMBERSHIP CANCELATION AND REFUND POLICY:

Membership Cancellation Within a current 12-month Commitment Period: 

You may submit a cancellation request through our Membership Cancellation form. Cancellation Requests received by this form will be reviewed within 10 business days of receipt.

Approved cancellation requests that occur inside a current 12-month membership agreement term are subject to a 50% cancellation fee. The 50% cancellation fee is based on the balance of the remaining payments due in the original 12-month agreement.

There are no refunds on paid-in-full membership agreements as the customer has received both the services and the discount benefit upfront. If requested, using the Membership Cancellation form 14 business days before your current  membership renewal date, your membership will not be renewed at the end of your 12-month agreement.

Cancellation requests made outside our Membership Cancellation form will not be recognized. There are no refunds on payments that are processed prior to an approved cancellation request.

Membership Cancellation Outside of a 12-month Commitment:

You may cancel at any time outside of a current 12-month membership commitment agreement by submitting a cancellation request through our Membership Cancellation form. Cancellation Requests received by this form will be reviewed within 10 business days of receipt.

Once a cancellation request has been received through our Membership Cancellation form and you are outside of a current 12-month membership agreement terms, no future payments will be processed. 

If a payment is processed after a documented request to cancel is received through our Membership Cancellation form, such payments will be refunded within 10 days.

Cancellation requests made outside our Membership Cancellation form will not be recognized. There are no refunds on payments that are processed prior to an approved cancellation request.

MEMBERSHIP NON-TRANSFERABLE OR SHAREABLE:

Each membership is uniquely assigned to the individual who completes the purchase or the designated party for the membership at the point of purchase. The xchange membership purchase is intended solely for the individual account holder and therefore the membership benefits held by that member are not transferable or shareable with any other person.  

Further, attendance to xchange events are not transferable or shareable with any person.

Should a violation of this policy occur, it may result in the discontinuation of membership privileges without the possibility of a refund.

Formal transfers of memberships may be considered on a case-by-case basis and should be discussed directly with our membership success team. Please reach out to membership@xchangeapproach.com for more information.

CODE OF CONDUCT FOR MEMBERSHIP & COMMUNITY:

As part of your Membership, you are granted access to the xchange community; an ecosystem designed to support meaningful connection, collaboration, and shared growth.

This space exists because of the collective integrity, presence, and contribution of its members. Use of these spaces should align with the spirit and intention outlined here.

By participating in the community, you agree to the following:

1. Purpose of the Community

The xchange community is a space for:

  • Building authentic relationships
  • Engaging in thoughtful dialogue
  • Co-creating ideas, opportunities, and experiences
  • Supporting one another’s personal and professional growth

We encourage networking, collaboration, and the organic emergence of opportunities that arise from genuine connection.

2. No Solicitation or Unsolicited Promotion

To preserve trust and psychological safety within the community:

  • Direct solicitation, pitching, or promotion of products, services, or programs is not permitted
  • Sending unsolicited direct messages for business purposes is not allowed
  • Adding members to external groups, lists, or offers without consent is prohibited
  • Sharing free or complementary events or offerings is only appropriate when they are clearly in service of the xchange community and its members, not for personal promotion. We are peers, not prospects.

Opportunities may emerge naturally through relationships, however, they must be invited, not imposed.

3. Respect, Integrity, and Presence

Members are expected to:

  • Engage with respect, curiosity, and openness
  • Honor diverse perspectives and lived experiences
  • Take responsibility for their communication and impact
  • Contribute in ways that elevate the collective experience

Harassment, discrimination, or harmful behavior of any kind will not be tolerated.

4. Confidentiality & Trust

What is shared within the community, especially in live sessions, small groups, or personal exchanges, should be treated with care and discretion.

Do not share or distribute another member’s personal information, stories, or intellectual property without explicit permission.

5. Accountability & Enforcement

We reserve the right to remove content, limit access, or revoke community participation for behavior that violates these guidelines.

Our intention is always to protect the integrity, safety, and value of the community for all members.

ONLINE IMMERSION TRAINING CANCELATION AND REFUND POLICY:

In the event that you are unable to attend the initially scheduled ONLINE IMMERSION TRAINING EXPERIENCE that you have purchased, xchange offers the flexibility to reschedule your training one (1) time for a credit to be used within 12 months of your purchase. The credit is valid for one year from the date of initial purchase. If credit is not utilized within the one year period of time, the credit will be canceled. We do not allow for extensions of credits.

To reschedule or request a  cancellation, kindly submit in writing via email to hello@xchangeapproach.com within 48 hours of your ONLINE IMMERSION TRAINING EXPERIENCE. If we do not receive your request to reschedule or cancel within 48 hours of your ONLINE IMMERSION TRAINING EXPERIENCE, no credit or refund will be possible. 

NOTE: If you are a recipient of a Guest Pass, we do not offer the ability to reschedule your free ticket to the ONLINE IMMERSION TRAINING EXPERIENCE to those that have not paid for a ticket.  

In the event that you attend the full ONLINE IMMERSION TRAINING EXPERIENCE and find yourself dissatisfied by the end of the training, we are pleased to consider issuing a full or partial refund. Refund requests must be submitted in writing via email to hello@xchangeapproach.com within 48 hours of completing the ONLINE IMMERSION TRAINING EXPERIENCE.

ONLINE IMMERSION TRAININGS INCLUDE AND ARE NOT LIMITED TO: Online xchange Experience (OXE), Conscious Facilitation Masterclass (CFM), Awakening Conscious Leadership Experience (ACLE), Conscious Leadership Accelerator (CLA) or other Online Immersion Training Experience.

CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS

At xchange, we understand the importance of your investment in our CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS. Certifications or Advanced Trainings can be ONLINE or IN-PERSON.

In the event that you are unable to attend the initially scheduled ONLINE (or if applicable, the IN-PERSON portion of an xchange Certification Program) CERTIFICATION(S) AND/OR ADVANCED TRAINING PROGRAM(S) that you have purchased, xchange offers the flexibility to reschedule your training one (1) time for a credit to be used within 12 months of your purchase. The credit is valid for one year from the date of initial purchase. If credit is not utilized within the one year period of time, the credit will be canceled. We do not allow for extensions of credits.

Non-Refundable Investment: The investment made in the CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS is considered non-refundable.

CERTIFICATIONS (ONLINE / IN-PERSON) AND ADVANCED TRAINING PROGRAMS INCLUDE AND ARE NOT LIMITED TO: Conscious Leadership Business Accelerator (CLBA), Guide Certification Program (GCP), Appreciative Inquiry Summit Training (AIST), or any other Online Certification and Advanced Training Program.

Zero Risk Promise for the Online Certifications and Advanced Training Programs: At xchange, our commitment is to deliver exceptional value to our customers. In the event that you feel we have not met this commitment, we offer a Zero Risk Promise. If you participate in and complete all ONLINE CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS requirements, and still don’t believe it was worth the investment, you may request a refund.

Zero Risk Promise Eligibility Requirements for the Conscious Leadership Business Accelerator (CLBA):

  • Full participation is required, defined as attending all of the Conscious Leadership Business Accelerator training calls.
  • Complete all the self-study digital course modules
  • Complete all daily / weekly journaling prompts for the complete 6 week Conscious Leadership Accelerator Journal.

Zero Risk Promise Eligibility Requirements for the Guide Certification Program (GCP): 

  • Full participation is required, defined as attending all of the Experiential Learning Sessions and Practice Sessions.
  • Complete all the self-study digital course modules and assessments.
  • Complete all required Apply, Reflect, Learn submissions.

Zero Risk Promise Eligibility Requirements for the Appreciative Inquiry Summit Training (AIST): 

  • This program does not currently offer a Zero Risk Promise. As a Learning Partner of the Appreciative Inquiry Summit Training (AIST) refer to In-Person Events Cancellation and Refund Policy.

Refund Process for Zero Risk Promise: If you are unsatisfied with the ONLINE CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS and you meet the criteria for the Zero Risk Promise for the ONLINE CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS, you can request a refund. 

Refund requests must be submitted in writing via email to hello@xchangeapproach.com. You will be required to submit supporting documentation and have an exit interview with one of our team members to ensure the criteria for the ONLINE CERTIFICATIONS AND ADVANCED TRAINING PROGRAMS Zero Risk Promise has been completed.

Refund requests must be submitted no later than 15-days from the program’s conclusion. Approved refunds will be processed within 30 days of the request.

IN-PERSON EVENT CANCELATION AND REFUND POLICY:

There are no exceptions to this policy under any circumstances. Refunds will not be provided for late arrivals or early departures from any in-person event. 

Cancellation or transfer requests for in-person events must be submitted in writing via email to hello@xchangeapproach.com

  • More than 90 days prior to the in-person event: 100% refundable or a one time credit transfer to the next in-person event that was purchased.
  • 89 to 61 days prior to the in-person event: 50% refund or a one time credit transfer to the next in-person event that was purchased.
  • 60 days to 31 days prior to the in-person event: NO REFUNDS. You will have the option for a one time credit transfer to the next in-person event that was purchased. 
  • 30 days prior to the in-person event: No refund and no credit.

If you have a credit to attend an in-person event that is not part of a Certification Program, the credit is valid for one year from the date of issuance. If credit is not utilized within the one year period of time, the credit will be canceled. We do not allow for extensions of credits.

If you have a credit, as a Learning Partner for the Appreciative Inquiry Summit Training (AIST), the credit is valid for one year from the date of issuance. If credit is not utilized within the one year period of time, the credit will be canceled. We do not allow for extensions of credits.

If you wish to transfer your ticket, or a ticket you purchased for a guest, to another participant, please inform us in writing via email at hello@xchangeapproach.com. Note, that the Learning Partner tickets for the Appreciative Inquiry Summit Training (AIST) are not transferable to another person, unless they are qualified approved by xchange. Credits received to attend an in-person event are non-transferable.

Purchased Guest Pass and Cancellation: Guest passes for in-person events are only eligible for non-xchange members. If you purchased a Guest Pass for the in-person event or training and your guest is no longer able to attend, a credit will be applied directly to your guest unless you otherwise notify our team about transferring that credit to your account or for another guest.

GUEST PASS

Guest Pass Definition: A person that is a recipient of a free ticket that is attending a training online or in-person where a fee was not paid.

Guest Limitation: As a guest of an online or in-person training you are entitled only to the admission of the training. You are not entitled to any bonuses that are for paid participants. We do not offer the ability to reschedule to those that have not paid for a ticket.

Usage Limitation: Guest Passes will be made available at the discretion of xchange. If Guest Passes are made available to your specific membership level, you will be notified via email and via the Learning Lab event description. Each non-member guest is eligible to attend each of these events only once.

Eligibility Criteria: Guest Passes are intended for non-xchange members who have not previously attended the event for which they are being invited to join.  The invitation should be extended to individuals you personally know, can attest will be a good fit for the training and give/receive value through the experience.

Submission Deadline: The deadline for submitting your guest passes is expressly outlined for each event inside of the member guest pass form for that event. 

Membership Requirement: The inviting member must be an active member at the time of the event for which guests are invited. The member does not have to be present at the event for the guest to attend.

By utilizing a guest pass, you acknowledge and agree to abide by these terms and conditions. Failure to adhere to these conditions may result in the invalidation of guest passes and may impact future ability to invite guests.

xchange GUIDE CERTIFICATION USAGE AGREEMENT:

Using and Sharing xchange Content

We want you to use The xchange Approach every day in your work, designing, and facilitating experiences that create transformation. When doing so, and it feels appropriate for what you are doing, we ask that you attribute and recognize xchange verbally and visually by using the “Powered by xchange” logos in your printed materials. When using “Done for You” worksheets, templates and other assets, please follow the specific guidelines provided with those resources which outline what may and may NOT be edited or changed.

Celebrating Your Success
When you use The xchange Approach with your clients, prospects, and customers, and it helps you deliver excellent results, we want to celebrate and reward you for that success. Share your story with us, and we may choose to feature the impactful work you’re doing in our publications, social media, and email communications. We believe your success is a testament to the power of xchange and want to highlight it for the broader community. Guide Certification Program (GCP) – What You Can Do as a Certified xchange Guide
After you successfully complete the Guide Certification Program (GCP) and your application is approved, you will be a Certified xchange Guide. This means you are officially certified in The xchange Approach, Foundational Stories, and xchange Frameworks and Choreographies.

These assets come with a Powered by xchange logo. You may add your own co-branding logo to these materials to keep your professional brand while using xchange’s core frameworks.

You must use these co-branded materials when presenting The xchange Approach or Core Frameworks.

What You Can Do

  • You may design and facilitate using The xchange Approach Choreographies.
  • When you teach or explain Core Frameworks, you must use the co-branded worksheets and resources provided.
  • You may also use The xchange Approach, Core Frameworks and Foundational Stories to enhance your own products.
  • Use the co-branded Worksheets, Resources, and Materials to explain The xchange Approach in detail to prospects, partners, or clients.

What You Cannot Do

  • You may NOT offer (paid or free) to teach/train others in The xchange Approach or Core Framework(s) as a course, workshop or product offering unless you obtain written approval or a Train-the-Trainer license in advance from xchange.
  • If you want to teach facilitators how to use The xchange Approach or Core Framework(s), you must obtain written approval or a Train-the-Trainer license, or invite others to attend an Introduction to xchange Workshop.
  • ALL resources and assets provided as part of the Guide Certification Program (GCP) are for the exclusive use of GCP students and Certified xchange Guides ONLY. You may NOT share or distribute to others, any of the Playbooks, Design & Facilitation Tools, Done for You Slides & Worksheets, Digital Agendas, Session Recordings or any other GCP materials.

INTELLECTUAL PROPERTY AND TRADEMARK PROTECTION

The xchange Approach and its associated frameworks and methodologies are protected by trademark and copyright laws. These resources may only be used by those who have attended xchange training and/or certification programs, or are active members of the xchange community. By attending a training or certification program or becoming an active community member, you acknowledge and agree to these terms.

Artificial Intelligence & Use of xchange Materials

All xchange materials, including frameworks, methodologies, language, and experience designs (“xchange Materials”), are protected intellectual property.

Permitted Use

As a student or graduate of our programs, you are encouraged to apply what you’ve learned in your own work.

You may:

  • Use xchange Materials to design and deliver experiences for your clients or customers
  • Apply xchange concepts, questions, and approaches within your facilitation, coaching, consulting, or leadership work
  • Use AI tools to support your personal learning, reflection, and preparation
  • Use AI tools to help you design sessions, agendas, and questions for your own client engagements

Permitted use is intended for your direct application in service of your clients, not for creating or distributing products, tools, or programs.

Not Permitted

To protect the integrity of the work, you may not:

1. Create or distribute AI-powered tools, products, or services

You may not package, promote, sell, or share any AI tool, assistant, agent, or system that uses or is based on xchange Materials.
This includes copilots, generators, MCPs, or similar tools that create or automate workshops, agendas, or facilitation designs.

2. Teach, train, or recreate xchange programs or methodology for a fee or as a formal offering

You may not teach, train, certify, or coach others on xchange frameworks, methodologies, choreographies, or question sets as part of a paid service, program, course, or offering, or create experiences that replicate or substitute for xchange programs.
(For clarity, this does not restrict informal peer-to-peer sharing, discussion, or learning, nor your application of the work in service of your clients.)

3. Use program or community content in AI systems

Upload or use materials, conversations, or contributions from other participants for AI training, generation, or product development.

No Misrepresentation

You may not present xchange Materials as your own original work or represent yourself as affiliated with or endorsed by xchange without authorization.

In Simple Terms

  • You can use xchange to do your work with clients
  • You can use AI to support your thinking and design
  • You can NOT turn xchange into a product, tool, or program
  • You can NOT teach or resell the methodology or frameworks

Examples

Permitted:

  • Using AI to draft an agenda for a client session based on xchange principles
  • Uploading materials into AI tools to help you prepare for a workshop you are facilitating
  • Applying xchange choreographies in your own client engagements

Not Permitted:

  • Creating or selling an AI tool that generates xchange-style workshops or facilitation plans
  • Building a “xchange-based” copilot, assistant, or MCP and offering it to others
  • Teaching a course on xchange frameworks, choreographies, or question design
  • Offering a “train-the-trainer” or certification based on xchange content

UNLAWFUL OR UNETHICAL BEHAVIOR:

xchange reserves the right to terminate a membership agreement at any time without explanation if the member engages in any unlawful or unethical behavior that may harm the reputation, interests, or community of xchange, with the member having no rights to refund or compensation in such cases.

CHANGE IN TERMS:

xchange reserves the right to change this agreement at any time. Any changes will be effective upon posting of the revisions at www.xchangeapproach.com which is reflected in the date last updated. For existing active memberships, such changes shall be effective thirty (30) days after posting of the revisions at www.xchangeapproach.com. Your continued use of membership and training after that date will constitute your acceptance of such changes.
